VICE SAFE – VICE CITY SAFEGUARDING POLICY
Vice City Private Members Club Safeguarding Policy ensures a safe, respectful environment for all. It includes age verification, secure communication, enhanced security, and clear procedures for reporting and addressing concerns. This safeguarding policy outlines the measures we take to protect everyone involved in our events and activities. Our priority is to ensure the well-being, safety, and rights of all participants, with particular emphasis on protecting vulnerable individuals.
This policy applies to all Vice City Private Members Club events, activities, and interactions. It covers members, guests, staff, contractors, and anyone else involved with our organization.
PRINCIPLES:
1. Safety and Well-Being: The safety and well-being of all participants are paramount.
2. Respect and Dignity: Everyone must be treated with respect and dignity, regardless of their background, race, creed, religion, gender, sexuality, and disability or other characteristics.
3. Zero Tolerance: Vice City Private Members Club has a zero-tolerance policy toward abuse, harassment, discrimination, and any other forms of harmful behavior.
SAFEGUARDING OBJECTIVES:
1. To ensure that all events are safe, secure, and free from harm.
2. To protect all members and guests from abuse, exploitation, and neglect.
3. To provide a clear process for reporting and addressing safeguarding concerns.
4. To ensure all committee members, staff and volunteers are trained and equipped to uphold this policy.
ROLES AND RESPONSIBILITIES:
Safeguarding Officer: A designated Safeguarding Officer will oversee the implementation of this policy. This individual will be responsible for handling safeguarding concerns, conducting risk assessments, and ensuring compliance with safeguarding measures.
Event Coordinators and Hosts: Event Coordinators and Hosts are responsible for ensuring that all events comply with this policy. They must conduct thorough checks and enforce all safeguarding measures.
Security Personnel: Security personnel must be trained in safeguarding procedures and are responsible for monitoring events, managing access, and responding to any incidents.
Committee, Staff and Volunteers: All committee, staff and volunteers must adhere to this policy and report any safeguarding concerns to the Safeguarding Officer or Event Coordinators, and Hosts.
SAFEGUARDING MEASURES:
1. Age Verification
a. All events are strictly 21+.
b. Members and guests must present valid identification to verify their age before entry.
c. We will use secure technology to track and verify attendee information.
2. Membership Verification
a. Events are members-only. Guests must be registered by a member and approved in advance.
b. Membership status will be verified upon entry to ensure that only authorized individuals are granted access.
3. Event Security
a. Enhanced security personnel will be present at all events to monitor and manage safety.
b. Security checks, including bag searches and pat-downs, will be conducted at entry points to prevent the introduction of prohibited items.
c. Surveillance systems will be in place to monitor event spaces.
d. Event Guardians will be present in event spaces to enforce rules, and monitor guest indulgence in accordance to our policies and event rules.
4. Reporting Procedures
a. A clear and confidential process is in place for reporting safeguarding concerns.
b. Members, guests, and staff can report concerns to the Safeguarding Officer, Event Guardians, or Event Host.
c. Reports can also be made using our direct Administrative channel including WhatsApp chat, or online utilizing our incident report form.
d. All reports will be taken seriously and investigated promptly.
5. Response to Incidents
a. Immediate action will be taken to address any safeguarding incidents.
b. The Safeguarding Officer will lead the investigation, involving Event Security, Event Host, a Club Director, and any other relevant authorities as necessary.
c. Affected individuals will receive support and guidance throughout the process.
6. Legal Compliance
a. Vice City Private Members Club will comply with all relevant local, state, and national laws regarding safeguarding and protection.
b. We will cooperate fully with law enforcement and other authorities in the investigation of any safeguarding concerns.
7. Training and Awareness
a. All committee, staff, volunteers, and security personnel will receive regular safeguarding training and will be required to successfully complete our safeguarding course.
b. Awareness campaigns will be conducted to inform members and guests of safeguarding policies and procedures.
8. Communication and Confidentiality
a. Sensitive information, including event details and attendee information, will be communicated securely to prevent unauthorized access.
b. Confidentiality will be maintained in all safeguarding matters, with information shared only on a need-to-know basis.
9. Vetting of Committee, Staff and Volunteers
a. All Committee, staff and volunteers undergo thorough background checks, and interviews before employment.
b. Those in positions of trust or responsibility will receive additional vetting.
10. Risk Assessment
a. Regular risk assessments will be conducted to identify and mitigate potential safeguarding risks at events.
b. These assessments will inform decisions on security measures, staff deployment, and other safeguarding actions.
MONITORING AND REVIEW
This safeguarding policy will be reviewed annually or in response to any significant changes in legislation or organizational practices. The review process will include input from staff, volunteers, members, and external experts as appropriate.
